10 Good tips when creating an event for Esbjerg Festival

We have gathered some of the things you need to pay special attention to when creating an event for the festival program through the Esbjerg Festival's organizer form.

1. Create your event as early as possible

The sooner you register your event in the form for the festival program, the greater the chance for publicity and attention on the festival's platforms. Social media content needs to be planned well in advance, so it is advantageous for you if your event is in the program when we start planning what to share and when.

2. Follow the instructions in the organizer form

Make sure to read the instructions in the organizer form carefully as you go through it. You can find help by hovering over the small "i" to the left of each field.

3. Is your event taking place over several days or multiple times on the same day?

If you’re hosting the same event multiple times on the same day, you’ll need to create one event listing for each time it takes place.
For example, if you have two performances on Monday, June 16—one from 10:00–11:00 and another later the same day from 12:00–13:00—you should create one event for the 10:00–11:00 performance and a separate one for the 12:00–13:00 performance.

If your event takes place over several days but at different times, you must create a new event for each day.

Once you’ve created the first event, you can click the "Actions" button in the top right corner and select "Copy content." This will duplicate all the details from the first event, so you only need to adjust the time and date as needed.

4. Use high-quality images

A picture says more than a thousand words, and on the website, it is the images that catch people's attention. So remember to choose a good picture for your event and make sure that images are at least 1920x1080 pixels.

5. Give your text some love

Make sure to give your text plenty of attention. Write a text that describes your event well so that the audience knows what to look forward to. And remember to proofread – or have a friend, neighbor, or colleague do it.

6. Remember deadlines

The deadline to create your event is June 5 at 10:00. This is also the final opportunity to make any changes to your event. If you create or edit your event after this deadline, we cannot guarantee that it will be included in the program. If you want your event to be considered for the printed program, the deadline is Monday, May 18, 2026, at 12:00.

7. You can edit your event, but...

When you create an event, you can make changes to it until June 5 at 10:00 if there are significant updates to the time, location, description, or similar details.
HOWEVER, please note that every time you edit your event, it will automatically be unpublished and removed from our program. It will only become visible again once we’ve had a chance to review your changes, and that may take some time.

8. Remember the permits

You must ensure that you have the permits from the relevant authorities to hold your event before you create it in the organizer form. The organizer form is not an application for permission to hold an event but solely to get your already approved event into the digital program.

9. Get a chance to be selected

If you create your event in our program before the end of April, you have a chance to be selected for the physical festival program. So again – the earlier you are, the more visible your event can be.

10. Use social media

The more places people can find your event, the greater the chance they will come. So feel free to link to Facebook pages, Instagram accounts, or YouTube videos so that the audience can dive even deeper into the event, artist, or organizer of your event. You are also very welcome to create your event as an event on Facebook and make Esbjerg Festival a co-organizer.

The best and most important advice we can give you is to be early. That way, we can also help you better. The closer we get to the festival week, the less time we have to help with the program.

11. Language

If you do not speak Danish and your event is in English, simply describe the event in English. We will help with a Danish translation.
